Digital Insurance Document Management Guide

Insurance documents are among the most critical paperwork in any household — and the most frequently misplaced. Going digital ensures you can file a claim at 2 AM, compare renewal quotes instantly and never miss a payment deadline.

1. Collect every policy document

Gather all insurance paperwork: home buildings and contents, car, life, health, pet, travel and any specialist policies. For each, you need the policy schedule, certificate of insurance, terms and conditions, and proof of payment. If you only have a renewal email, print to PDF and save it.

2. Record key metadata for each policy

For every policy, note the insurer, policy number, start date, renewal date, premium amount, excess and key coverage limits. This metadata is what makes a document vault powerful — it turns a folder of PDFs into a searchable, filterable database.

3. Set renewal reminders 60 days early

Some claims arise years after a policy ends — especially personal injury and liability. Keep expired policies for at least seven years. Mark them clearly as "Expired" so they do not clutter your active view.

6. Share with your partner or executor

If something happens to you, someone else needs to know where your insurance documents are. Share read-only access with your partner, or keep a sealed letter with your will explaining the vault location and login details.
